Patient Workflow

Provides an overview of the patient workflow recorded in Helix.

About this task

Different parts of the patient workflow may be completed by different users or the same user depending on the permissions assigned to them.

Procedure

The basic steps of the patient workflow through your practice are:
  1. A patient arrives. They may have an appointment booked or they may also be a walk-in patient who needs to see the first available doctor.
    • Check the patient's demographics details. For more information, see Edit Patient Records.
    • For a patient with an appointment, in the Appointment Book, appointment entry:
      1. If their appointment is not already confirmed, first confirm their appointment: click and in Appointment Details select Select action > Confirm.
      2. If the appointment is confirmed, check the patient in: click ArriveArrive.

      After the patient is checked in, they are automatically added to the patient queue for the healthcare provider with whom they booked. For more information, see Patient Queue.
    • For a walk-in patient, create a visit:
      1. In the Patient Search, search for and select the person's name.
      2. Click Visit iconVisit.
      3. In Appointment Details, from the Billing type list, select a billing type and click Create visit.
      Walk-in patients are automatically checked in and appear in the patient queue for all healthcare providers.
    Billing may be initiated from the visit before the consultation.
  2. A healthcare provider is ready to see another patient. They can see either their next booked patient or someone who is waiting to see the first available healthcare provider. In the Patient Queue iconPatient Queue:
    1. To see both waiting booked and walk-in patients, from the HCP list, select Waiting for me; otherwise to see only booked patients, select your own name.
    2. Note the appointment and waiting times of the patients and select the patient you want to see.
    3. As required, review the patient's health summary and timeline before calling them in or joining a telehealth call. For more information, see Health Summary and Patient Timeline.
    4. Click Start Consult. The ConsultConsult panel is displayed and the consult timer starts.
    5. Record details of the consultation, including a reason for visit. For more information, see the Clinical Management section.
    6. Click End consult to end the consultation.
  3. Process billing.
    1. To initiate billing, in the Visit iconVisit, click Process Billing.
    2. In the panel, update required details such as billing type and confirm the Medicare billing items.
    3. Process payment and Medicare rebates.
